Executive Board (“Board”) Policies

Introduction

The On Wisconsin Club (“Club”) is governed by its By-Laws. To fulfill its fiduciary responsibilities to the Club, the current Board has adopted policies based on its interpretations of the Articles of those By-laws. The purposes of these policies are to provide more specific guidance for the administration of Club activities while remaining in compliance with By-laws requirements. Documenting these policies establishes a framework for convenient reference and help to ensure consistency in application. Policies need to be flexible and may change from time to time to meet the changing needs of the Club.

Membership

To join the Club, prospective members must complete a membership application form developed and distributed by the Membership Committee of the Board (“Committee”). The purpose of the form is to provide a means for the Committee to make sure applicants meet the requirements of Article 1 of the By-Laws and document the review process. Once the application is approved, prospective members are placed on the membership roster and invoiced for their dues. Membership is granted based on an approved application and receipt of membership dues. Dues shall not be prorated.

The deadline for membership renewal dues is January 31st for the ensuing fiscal year which is January 1 through December 31. Dues not received by the last day in February will result in removal from the active membership roster.

Conduct

Membership in the club is a privilege. Members shall preserve the Club’s reputation and be respectful of fellow members. Members or their guests that violate those expectations or exhibit inappropriate behavior could result in sanctions. The appropriate sanction, if any, will be determined by the Board and may include removal from the Club and forfeiture of previously paid dues and event fees.

Activities and Events

Guests must be 18 years of age or older. Compliance will be enforced at check-in.

Guest participation in activities and events may be limited during certain times of the year. Activities and events that permit guests or restrict guest participation should be clearly communicated to the membership in a timely manner.

Table reservations at activities or events are generally prohibited unless specifically authorized by the Board and clearly communicated to the membership in a timely manner.

When an activity or event registration is full, it will be deemed “closed”. There shall not be a wait list or any other accommodations made because of actual or perceived “no-shows”.

Charitable Contributions

The Club is a social club. The only recurring fundraising activity is the 50/50 raffle conducted at scheduled monthly meetings. Occasionally, the Board may approve fundraising activity tied to other activities or events. Proceeds from all fundraising activities during the fiscal year will be combined to determine the Club’s annual donation to charity.

Voting

Items brought to the membership for a vote require a simple majority of those participating in the vote to be approved. The Board has concluded that the By-laws permit this activity to be performed in person at a meeting or online.

In person voting at a meeting limits the number of members eligible to vote due to facility capacity and potentially the attendance of nonmember guests at a meeting. Processes need to be in place to verify voter eligibility and tabulate results. In addition, members not attending the meeting are automatically excluded from participating in the vote.

Online voting ensures voter eligibility, verifiable tabulated results and increases the number of members able to participate in the vote. Online voting requires an individual email for each member to vote. The Board recognizes there are instances where a member may not have an individual email and may be excluded from participating in a vote absent some intervening action.

The Board prefers and endorses the online option. The Board recommends wherever possible members update their profile to be able to vote or contact the Club to determine alternatives if they want their vote included in the results.
